Excel "Get Data From PDF" Missing or Not Working? Why, and What to Do Instead

Why Excel has no From PDF option on a Mac, in Excel 2019 or 2021, or on the web, what it means when it finds no tables, and three ways to get a PDF table into Excel without it.

·

Quick answer: Importing a PDF is part of Power Query, and only Excel for Microsoft 365 on Windows has it: Data → Get Data → From File → From PDF. Excel for Mac, Excel on the web and copies of Excel 2019 or 2021 bought outright do not. When the option is there but finds no tables, the PDF is usually a scan. Without the option, PDF to Excel does the same job in any browser, on a Mac too, without uploading the file.

Who has the From PDF option

ExcelFrom PDF
Microsoft 365 subscription, WindowsYes: Data → Get Data → From File → From PDF
Excel 2019 or 2021 bought outright, WindowsNot as a rule — Microsoft added it to the subscription. Check the From File menu
Excel for Mac, including Microsoft 365No
Excel on the webNo
Excel on iPhone, iPad or AndroidNo

If you have a Microsoft 365 subscription on Windows and still cannot see it, Office is probably out of date: File → Account → Update Options → Update Now, then restart Excel. On a work computer, the update channel is set by your IT department, and a slow channel can be months behind.

When From PDF finds nothing, or the wrong thing

The import opens a Navigator window listing what it found: entries such as Table001 (Page 1) for tables it recognised, and Page001 for each whole page. What goes wrong usually shows up there.

  • Only Page entries, no Table entries. It did not recognise a table. Pick the Page entry, Transform Data, and split the columns yourself in Power Query — or convert the PDF another way (below).
  • Nothing useful at all. The PDF is almost certainly a scan: a picture of a page, with no text to read. No import can find cells in a picture. Run OCR PDF first to add a text layer, then check every cell by hand.
  • One table per page. A long table that runs over several pages comes in as several tables. Select them and use Append Queries to stack them into one.
  • Columns run together or a row is split in two. The PDF stores text at positions, not cells, so every importer has to guess where columns and rows are. Where a table has no lines and values sit close together, the guess goes wrong. Why PDF tables come out wrong goes through the fixes one by one.

Three ways without the From PDF option

1. Copy and paste, then Text to Columns

Select the table in your PDF reader, copy, and paste into Excel. For a simple table this is enough. Usually each row lands in a single cell: select the column, then Data → Text to Columns, and split on spaces or at fixed widths. It falls apart as soon as a description itself contains spaces.

2. Open the PDF in Word first (Windows)

Word for Windows can open a PDF directly — File → Open — and turns it into an editable document. Tables often come back as Word tables, which you can copy and paste into Excel with the columns intact. It is free if you already have Word, and slow for a long document.

3. Convert the PDF to an Excel file in your browser

PDF to Excel rebuilds the rows and columns from where the text sits on each page and gives you an .xlsx with one sheet per page, numbers stored as numbers. It works the same in Chrome, Edge, Safari and Firefox, so a Mac is no obstacle. The PDF is read inside the page: it is not uploaded, which matters when it is a bank statement or a payroll report.

How well that works is measured, not claimed: on the 158 tables of ICDAR 2013, the public benchmark for pulling tables out of PDFs, it scored 93.4%; on 14 test PDFs of our own with a known answer, all 176 rows came back exactly right. Like Excel's own import, it cannot read a scan. For bank statements there is a dedicated Bank statement to Excel, which also checks every row against the running balance.

Frequently asked questions

Why is Get Data From PDF not showing in Excel?

Because your Excel does not have it. Only Excel for Microsoft 365 on Windows offers From PDF; Excel for Mac, Excel on the web and Excel 2019 or 2021 bought outright do not. On Microsoft 365 for Windows, update Office (File → Account → Update Options → Update Now).

Can Excel for Mac import a PDF?

Not directly — the From PDF option is not in Excel for Mac. Convert the PDF to an .xlsx in the browser with PDF to Excel, or copy the table and use Data → Text to Columns.

Why does Excel find no tables in my PDF?

Usually because the PDF is a scan, so there is no text in it, only a picture. Run OCR on it first. If the PDF does have text, pick the Page entry in the Navigator instead and split the columns in Power Query.

How do I import a PDF table that spans several pages?

Excel's import gives you one table per page. Load them all, then use Append Queries in Power Query to stack them into one table.
